EXECUTIVE DIRECTOR JOB DESCRIPTION
OUTLINE OF DUTIES AND RESPONSIBILITIES
Finance and Business Planning
• Direct overall operations, budgets, and capital assets of the organization.
• Actively manage operations to meet service expectations of the membership.
• Propose the annual budget and manage the approved budget.
• Staff within budget considerations and service needs.
• Produce monthly accounting statements, quarterly finance reports, and a year-end summary.
• Advise the Executive Committee and Board of Directors on financial priorities and budget matters as appropriate.
• Ensure security of the organization’s capital assets.
• Make recommendations on long term financial planning.
• Develop implementation plans to meet strategic goals as established by the Board of Directors.
Board of Directors
• Create and manage a quarterly report to the Board of Directors summarizing key operational issues.
• Create and manage a monthly report to the Executive Committee.
• Ensure a flow of information sufficient in detail to allow for regular review of operations to ensure we are meeting our Mission and are in compliance with our policies.
• Ensure a flow of financial information sufficient to ensure we are operating in a fiscally responsible manner in compliance with established goals and policies.
• Be the initial point of contact on Regional issues which have National implications.
• Work directly with committee chairs to assist and facilitate when necessary.
• Organize and coordinate Board of Director meetings.
Staff
• Manage all permanent, part-time, and contract staff.
• Build and nurture a strong, professional, and enthusiastic staff.
• Establish roles and responsibilities, along with defined authority for all personnel.
• Define lines of communication, both internal and external, for all personnel.
• Delegate duties and allocate tasks according to roles and responsibilities.
• Set and monitor standards for performance and ethical conduct.
• Perform all human resource functions regarding full and part-time employees including management of benefits and training programs.
• Regularly evaluate staff performance.
• Propose, and implement approved, wage budget, merit increases, and bonus structure.
• Procure and manage contract employees as detailed in program and contract requirements.
Public Relations
• Manage the image of the organization in a senior public relations role.
• Establish and maintain contacts with relevant media entities.
• Establish public relations contact policies for office staff.
• Approve all major copy and design circulated in the name of the organization.
Professional Liaison
• Develop and maintain professional liaison with all levels of government and the flying community.
• Establish a contact list for various government agencies involved in, or affecting, the aerospace community as they relate to the organization.
• Establish a contact list for various other flying organizations.
• Establish professional relationships with both of the above.
• Identify opportunities for synergistic interaction with other organizations and/or government agencies.
• Communicate details of proposed and passed changes that potentially or actually impact the flying membership community.
• Maintain cooperative relationships with member chapters and assist them with their activities wherever practical.
Risk Management
• Manage USHPA operations, programs and facilities to minimize risk to the staff, board, volunteers, members and the public and to avoid the possibility of litigation.
• Maintain Association insurance policies including general liability, third party liability, instructor insurance program, and directors and officers coverage.
MINIMUM LEVEL OF EDUCATION, SKILLS, and EXPERIENCE
Education and Skills
• Senior level non profit executive experience working with a volunteer board of directors.
• Master's degree in business or nonprofit administration preferred. Bachelor’s degree with equivalent experience will be considered.
• Demonstrated ability in management and administrative skills, including financial and human resource management.
• Energetic, dynamic, self-starter. A leader of change.
• Superior verbal and written communications skills.
• Strong strategic planning and organizational ability.
• Excellent interpersonal skills essential to dealing effectively with a diverse group of interested individuals and organizations.
• Ability to maintain staff morale and direction.
• Ability to effectively prioritize a diverse variety of tasks and manage expectations.
• Is "at home" with leadership and achievers from employees, to membership, to colleague organizations and interested members of the public.
• Comprehensive understanding of risk management including insurance.
Experience
• Minimum of 5 to 7 years of non profit business management experience incorporating the following:
• Experience in providing the necessary leadership for the organization to achieve annual goals as established by the Board of Directors.
• Experience serving a not-for-profit organization and working with a volunteer board of directors in a collaborative way.
• Proven leadership, management, and development skills.
• Experience in developing and following annual and long range business plans.
• Demonstrated creativity in facilitating solution-finding for day-to-day as well as long-reaching issues.
• Demonstrated experience in developing high-performance teams.
• Demonstrated experience in developing high-performance teams.
• Industry experience in hang gliding or paragliding is a plus.
